This section outlines the default fields that can be used to record information about a charge in Equinox.


Note: It is possible to create additional charge fields in System > System Customisation > Custom Fields.


*Required Fields


Field

Description

Attorney/Charge Owner*

Assign the charge to a user within the system.

This user has usually completed the work or is responsible for the charge e.g. the Fee Earner of the case.

Charge Owner will default to the user adding the charge to the case. However, some Charge Sheet items may be configured to assign a charge to a particular case user.  

Time

Please see the section on ‘Add Time Related Charges’ for information on how this field works.

Auto-Calculate Time

This option relates to Time charges and is used to choose if the charge amount will be automatically calculated from the recorded time and the hourly rate. E.g. 2 hours x (£100 per hour) = £200

Amount*

Record the amount of the charge. This will add the charge in your system’s default currency. To add a charge in a different currency please see ‘Add Charges in Different Currencies’.

Date*

This defaults to today’s date. You can amend this if needed.

Description*

Enter a short phrase to describe the purpose of the charge.

Internal Note

Use this field to record extra information about the charge that should not be visible to the client.

Standard Charge Phrases

This drop down list contains pre-configured charge descriptions that have been saved in your Equinox system under Finance > Charge Phrases.

Selecting a charge phrase automatically populates the ‘Description’ field.

This helps ensure charge descriptions are uniform and consistent when adding One-Off charges.

Category*

Select the type of charge:

Time (Professional Fees)

Fixed (Standard Fees)

Cost (Disbursements)

Sub-Category

(Optional) Select a sub-category to provide more information about the type of charge.

Non-chargeable

Tick this box if this charge should not be invoiced.

Payment Ref

Add a reference for internal use.

Support Document

Link the charge to a file that has been uploaded to the Documents tab of the case. This normally used link an incoming charge to an invoice. Please see ‘Record an Incoming Charge/Invoice’.
