Charges are validated for billing on the Charge Approvals screen.


There are two ways to access the Charge Approvals screen:


1. Finance tab > Charge Approvals
2. Charges tab of a case > Approve Charges in the left hand menu

 

Note: Only users will the relevant permissions will be able to access this screen.


This screen lists all charges with a status of ‘Waiting for Approval’.


The filters across the top of the screen can be used to search for particular charges:


Search Option

Description

Case Attorney/Fee Earner

Select a case attorney to filter by case user.

Charge User

Select a charge user to filter by the user the charge is assigned to. The charge is usually assigned to the user that has added the charge to the case or the attorney of the case.

Charges for Team

Only relevant if Teams are configured in your system. Select a team to filter for charges assigned to users within a Team.

Case Code

 

Type a case code to find all charges available on a case.

Who Pays the Bill

Type the name of a billing contact to search for charges by who pays the invoice.

Show all not billed

Tick this option to show charges that are ‘Approved’ or ‘Written Off’ but have not been invoiced yet.

 

The charges are grouped by the Billing Contact and Case Code.


There are various links on this screen to view information and jump to other areas of the system:

  • Who Pays The Bill: Go to the billing contact details in the Address Book
  • Billing Info: Preview Address Book details on the Charge Approvals screen
  • Case Code: Go to the Details tab of the case

 

Charges will have one of the following statuses:

  • Pending – This is a charge ‘Waiting for Approval’
  • Approved – This charge has been validated for billing
  • Write-off – This charge has not been validated for billing
