To view and update the details of an existing budget:
- Go the Finance tab > Budgets
- Click on the Budget you want to view
Budget information is split into four sections.
- Budget Details
- Budget Overview
- Cases in Budget
- Charges in Budget
Budget Details
The following details are available to view/update:
Field | Description |
Name | Add a description for the purpose/cases/client the budget is relevant to. |
Notes | (Optional) Record any information relevant to the budget. E.g. agreements with the client. |
Start Date/End Date | (Optional) Enter a date period where this budget is valid. |
Amount | Enter the full amount of the budget. |
Include VAT in Amount | Specify if VAT should be included within the budget amount. |
Managed By | Select a user that will be responsible for monitoring the budget. |
Active | Tick to make the budget available on the relevant cases. |
Click ‘Update’ to save any changes.
Budget Overview
This section displays a doughnut chart of charges that have been allocated to the budget to enable users to track whether you are within budget.
Information | Description |
Billed | Charges that have been invoiced. Displayed in Red. |
Allocated (not billed) | Charges allocated to the budget that have not been invoiced. Displayed in Orange. |
Available | Remaining amount of the budget that can be used. |
Cases in Budget
This section lists all cases that are allocated to the budget with an overview of the following information:
Information | Description |
Case Ref | This is the case code and is a link to view the case Details. |
Short Title | This displays the short title of the case. |
Category | This indicates the category of the case. |
Client | This displays the name of the client of the case and is a link to view the details in the Address Book. |
Next to each case there is a red ‘Remove’ button to remove the case from the budget. This removes the case immediately.
Note: This does not delete the case from Equinox.
Charges in Budget
This section lists all charges that are allocated to the budget with an overview of the following information:
Information | Description |
Case | This is the case code and is a link to view the case Details. |
Date | This displays the date of the charge. |
Description | This displays the description of the charge. |
Category | This displays the category of the charge (Time/Fixed/Cost). |
Billed | This indicates if the charge has been invoiced (Yes/No). |
Vat Applicable | This indicates if VAT will be added to the charge. |
Next to each charge, there is a red ‘Remove’ button to remove the charge from the budget. This removes the charge immediately.
Note: This does not delete the charge from Equinox. The charge will still be visible on the case.
