This article explains how to create your renewal notice templates in Equinox.

You can send renewals templates in two ways:

  • On a case-by-case basis

  • With multiple cases combined into one notice

Note: You must be using Smart Templates to use this functionality.

Creating a single case renewals template

Your template should be configured in the same way that you would configure other smart templates.  

You can use the following list of merge codes in your template:

#RENEWAL_DATE+X(D/W/M/Y)#The renewal due date plus the modifier – e.g. +2M for plus two months

#RENEWAL_YEAR#The renewal year
#RENEWAL_TOTAL_COST#The total cost/quotes for the renewal
#RENEWAL_OUR_FEE#The Service Charge cost for the renewal
#RENEWAL_OFFICIAL_FEE#The Official Fee cost for the renewal
#RENEWAL_EXTRA_COST#The total of any additional charges for the renewal

Creating a combined cases renewals template

You can't use the above merge codes for combined notice templates. For combined notice templates, the columns must be specified in the system, and then a table will be output by using merge code #RENEWAL_NOTICE_TABLE# in the smart template. 

The configuration of this combined table is completed in the Renewals > Settings section, via the settings under the ‘Notice Table Settings’ header. 

Notice Table Columns – This lets you input the columns that should be included in the renewal notice table. Click on the information icon to see the columns available, and type the required column headers into the available field. These should be comma separated, with no spaces after the comma.

Notice Table Text – This lets you set the wordings for the column headers. You should type the header names in the order that they are listed in the columns above, separated by commas. 

For example: 

Our Ref,Your Ref,Number,Applicant,Country,Title,Year,Cost,Renew,Abandon

If left blank, the column headers as they appear in the Notice Table Columns setting will be used. 

Note: Your templates should have the ‘Default Recipient’ set to ‘Client Renewal Correspondence’.
