Where to find the Renewals tab
Renewals tab will be visible on the navigation bar across the top of the screen, to users who have the relevant access permissions. It'll look similar to this:
Counts visible on the Renewals page
There are 4 counts visible at the top of the Renewals page. These are:
Name | Description |
---|---|
Renewals Due in the Next Month | A count of all active renewals with a due date within the next month |
Renewals Due in next 7 days | A count of all active renewals with a due date within the next 7 days |
Overdue Renewals | A count of all active renewals with a due date in the past |
Active Renewals Using Grace period | A count of all active renewals that are in the grace period |
When you click on these counts, it will take you to the ‘Renewal Due Dates’ page, with the results filtered to match the count you have selected.
The remainder of the page is then split into the below blocks.
Tools
This contains the 'Process Client Instructions' menu item, which is used to process instructions for combined renewal notices. For further information, see the article on Processing Client Instructions.
Reports
This contains the 'Renewal Due Dates' menu item, which is a list of all renewal due dates in your system. Various filters are available at the top of the page. By default, the Completed filter will load as 'No' to only show active renewals on your system.
From this list, you can see basic information about renewals in your system. Clicking on Edit will take you to the specific renewal details page.
Validate New Renewals Cases
This section contains validation reports that you can use to find missing details on Equinox cases. The reports available are:

Missing Filing Details | Cases that have incomplete filing details |
Missing Grant/Reg Details | Cases that have incomplete grant/registration details |
Unknown Renewal Responsibility | Cases where the renewal responsible field hasn't been populated |
Within each report, a variety of filters are available to help with specific selections:
Once the relevant missing information has been included in the case, it will no longer appear in the report.
You can add notes to appear in these reports by using the Update Note option on the right-hand-side of the listed cases. These notes will only be visible in this section and not on the cases themselves.
Settings
This section stores:
Country Law – This section displays the country law that is used for the renewals functionality. The country law is read-only and is managed and maintained by the Equinox IP Services team. Click on the IP category that you would like to see the country law for, and the country tab will display with the relevant law information.
Notice Settings – This section is used to set up and edit the reminder notice rules in your system, specifying which notice templates are used and when they should be generated. For more information, see Renewal Notice Settings.
Settings – This section contains general settings relating to the renewals functionality. For more information, see Renewal Settings.
