This article explains how renewal costs/quotes from PAVIS are imported into Equinox.

Automatic import of quotes

Quotes are automatically imported from PAVIS based on the forecast settings that are set in your system in Renewals > Settings. For example, if your forecast settings are set to 6 months, then 6 months before the due date the costs/quotes for the renewal will be retrieved from PAVIS and stored in Equinox.

The cost/quote from PAVIS is retrieved as one single fee, and will use the details from the matching charge sheet item in your system. When the PAVIS fee is retrieved and linked to the renewal, your matching renewal service charge from the charge sheet will also be added automatically at the same time. When the costs/quotes have been completed, the Costs/Quotes step in the progress bar will turn green, and the quote information will be visible in the Charges section on the renewal due date page:

Manually importing quotes

If you want to add the renewal quotes before they are automatically imported, you can do so via the Generate Quotes button in the progress bar. This will add your matching service charge, and retrieve the renewal fee from PAVIS.

If you manually generate the quotes, the quote will not be imported again automatically based on your forecast setting.

Updating the PAVIS quote

To manually update the PAVIS renewal fee, you can use the Update Provider Quote option in the progress bar. This will update the PAVIS fee linked to the renewal with the latest fee for the renewal available from PAVIS.
