Single Orders - Entering an instruction
When you enter a renewal instruction on Equinox, this is transferred to PAVIS immediately if the renewal due date is within the next 6 months. If the due date is more than 6 months away, the instruction will be stored in Equinox and transferred automatically when the due date is less than 6 months away.
To enter an instruction on a renewal, you can use the 'Enter Instruction' option on the progress bar:
For more information on how to enter instructions, see our article Processing Renewal Instructions.
Instruction to Renew
When the instruction is Renew and this is transferred to PAVIS successfully, the Instruction box in the progress bar will turn green, and the logs will show an instruction has been successfully transferred.
The next step in the process is the Invoicing step. For information on this, please see our article Receiving final costs and payment receipts.
Changing a Renew Instruction
If you input a Renew instruction by mistake, or need to change the instruction, you can so via the Edit button on the renewal due date details page.
If the Renew instruction has already been transferred to PAVIS, this will trigger a cancellation request to be sent to PAVIS, requesting that any open renewal orders be cancelled.
If the request is successful, the instruction will change and the log will show that the order has been successfully cancelled:
If the request is not successful, an error will display advising that the order could not be cancelled. In this scenario you should contact PAVIS for further information.
Instruction to Abandon
If you input an Abandon instruction, no instruction is transferred to PAVIS and the progress bar will update to show the instruction:
When you set the case to a Closed status, an update will be sent to PAVIS confirming that the case is now closed and this acts as a deletion on the PAVIS system. There is also a setting 'Close Renewals Automatically when Case(s) closed' in Renewals > Settings that will automatically close any open renewals when you set the case status to closed.
