How to export E-Invoices


To generate an E-Invoice, you must first generate the invoice itself. Please see our article HERE for support with this.


Then, navigate to Finance -> Import/Export -> Export to E-Invoice


NOTE: User must have the permission Finance -> Import/Export for this


On the E-Invoice Export page, all invoices that have not yet been export as E-Invoice will be displayed/ their status will be 'Pending'.


Filter by invoice number, debtor or date range, tick the desired invoices and click 'Export'



A zip file will download containing the individual E-Invoices as .xml files, each named with the corresponding invoice number. Exporting an E-Invoice will change the status in Equinox from 'Pending' to 'Exported'.


If you need to find and re-export an invoice, change the Status filter to 'Exported':




Key Considerations About Your Export


Supplier Information


The supplier information on E-Invoices will be taken from Finance -> E-Invoice Settings -> Supplier. If you use multiple legal entities, this will need to be adjusted prior to exporting the E-Invoice


Tax Categories


Equinox determines the Tax Category (PEPPOL Codelist) based on the configuration of the Charge Subcategory (VAT or no VAT), from System -> Manage Dropdowns -> Countries of the seller and buyer


  • If 'no VAT', then Tax Category = O
  • If 'VAT', and seller country = buyer country, then Tax Category = S
  • If 'VAT' and buyer country is in the EU (and is not the same as buyer country), Tax Category = AE
  • If 'VAT' and buyer country not in the EU, Tax Category = G

Validation


As of version 2025.4.0.0, Equinox will allow you to export a non-compliant E-Invoice. In an upcoming version, Equinox will block the export and indicate the reason for not passing validation
