This article outlines how to create a new pre-set in your system.
Most Equinox systems use our default pre-sets from the IP Portal. These can be customised to meet your requirements, and it is also possible to create completely new pre-sets specific to your system.
Note: Users require certain permissions to view, add and delete pre-sets.

Where can I find pre-sets in Equinox?
Go to the System tab > Pre-set Tasks
Click ‘Add new Pre-set Tasks’ in the top right
How do I create a new pre-set?
1. Enter the Pre-set Settings
This screen tells you:
Which cases the pre-set is designed to be used for
What date should trigger the pre-set to be added
Setting | Description | Example |

Category | Specify which type of cases the pre-set should be added to | Patent |
Sub-category | Specify if the pre-set is only relevant to cases with a particular sub-category (Optional) | First Filling |
Primary Base Date | This is the date that triggers the pre-set to be added to a case/calculates the task deadlines. See for more information. | Filing Date |
Title | This is a description of what tasks and deadlines the pre-set includes. | GB Patent – Post Filing Actions |
Country | Specify if the pre-set should only be used on cases of a particular country. | GB |
Nominator | This is only relevant if you use Nominators to set up custom task lists for particular clients. |
2. Map Out the Pre-set Tasks
We recommend using a spreadsheet to map out the tasks to include within your pre-set.
The following information should be considered:
Task Information | Description |
---|---|
Description | Describe what the task is for. |
Base Date | Date used to calculate the deadline of the task. Run Date: The deadline will be calculated from the date the pre-set is added to the case. Base Date: Select a case date/set date option. Custom Date: Choose a date that has been created specifically for the pre-set. (See for more information). Note: Users are prompted to record any dates used as Base Dates before the pre-set tasks can be added to the case. |
Offset | Specify how the deadline should be calculated from the Base Date, e.g., 1 Week After Base Date |
Importance | Signify how important the task is (Backstop/Standard/Fatal) |
Type | Use to categorise the task for reporting and search purposes |
Email Reminder | Specify if the task should be included in the daily email reminders. Recommended for Fatal tasks. |
User | Specify is the task should be automatically assigned to a user on the case, e.g., Attorney, Formalities, etc. You can assign a pre-set to any system user. You aren't limited to just the four case roles on your system. |

3. Create the Pre-set Tasks
When you've mapped out the tasks, you'll need to add them to Equinox.
One blank task is automatically added to a pre-set when it is created.
Click Edit next to the blank task and enter the details of the first task
Click Update to save the task
In the right of the Tasks section, use the dropdown to select how many additional tasks to create
Click Go to create these tasks
Fill in the Task details on the right of the screen
Click Update to save the information
Your pre-set is now ready to use!
